What type of information we have:

When you contact us through our website, by phone, email or post we will record and store (where given):

  • Your name.
  • Your telephone number.
  • Your email and/or postal address.

If you engage us to provide coaching and mentoring services with us, we will also record and store (where given):

  • Your address.
  • Notes of coaching and mentoring conversations.
  • We may record coaching conversations (audio and/or video) but will only do so with your explicit consent.
  • At your request we may interview colleagues, friends or family to obtain developmental feedback for you. We will store interview notes and anonymised reports to fulfil our contract with you.


How we get the information and why we have it:

We collect this information through your enquiry and/or booking with us through our website or if you contact us by phone, post or email.  We also collect information during our work with you as we will keep records of conversations to allow us to provide our services.  We need to collect and hold this information about you so that we can manage our professional relationship with you as providers of Executive Coaching and Mentoring.  We will use this information to:

  • Answer enquiries from you about our services.
  • Follow up with you if you don’t engage us immediately.
  • Manage our provision of our services if you engage us.
  • Plan and provide professional coaching and mentoring services to you based on the information and needs you disclose to us.


If you give us your consent, we will hold your contact information to provide you with information about our services, newsletters and articles.  You may withdraw this consent at any time by contacting us.  Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

 

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting Glyn Mitchell at the above address

(b) We have a contractual obligation.

What we do with the information:

We will use your information to manage our professional relationship with you as outlined above.  We do not share your information outside our Company unless you ask us to pass specific information to other people.

We will pass relevant information to your coach so that they can deliver a safe and appropriate programme to you.

 

How we store your information:

We will store your information in files held on our personal computers and other electronic devices used in our business which are password protected.  Email correspondence with you will also be stored in our gmail account. We may also store paper copies of the information securely in our office at the above address.  Our website is hosted by One.com and their cookie privacy policy can be found at:  www.one.com

 

We will store information about our contract with you for six years in line with the relevant limitation periods and for Inland Revenue requirements.  Each year we will carry out an information audit after the close of our financial year on.  We will delete electronic information and paper information will be destroyed at a secure shredding facility when out of date.

 

Your data protection rights:

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.
